Qualifications and Experience
The successful candidate must possess at minimum, a Master’s degree from a recognized university, preferably in Human Resources, Business Administration, Social Sciences or other related discipline.
Candidates should also possess:
- At least five (5) years’ experience in recruitment and onboarding or a similar position
- Knowledge of staff onboarding practices and trends
Candidates with the following would have an advantage:
- Certification in Human Resources such as SHRM-CP, PHR.
- Experience in onboarding foreign nationals / immigration and expat services
- Knowledge in Public Relations, Protocol and Diplomacy
The following would be considered assets:
- Knowledge in Higher Education HR policies and practices
- Track record of successful onboarding processes and employee retention
- Evidence of familiarity with relevant local and international laws/regulations
Key Responsibilities
On-Boarding and Orientation
- Developing, reviewing and documenting an onboarding framework for hires and appointees across all categories of staff
- Ensuring proper and effective onboarding of all academic, senior administrative and professional new hires and appointees
- Developing tool(s) for obtaining candidate and new hire experience feedback and analysing the data to produce useful and meaningful reports, inform service improvements and standards, and inform decision making on recruitment and retention practices
- Performing research into onboarding best practices and making recommendations for improvement of the onboarding experience
- Working with the Marketing & Communications Office, to produce new staff announcements as required, and on new and improvements to onboarding tools and strategies (eg. videos)
- Developing, planning, and executing a robust orientation programme, and ongoing event/activity schedule, in collaboration with the Marketing & Communications Office: crafts all related correspondence
- Collaborating with the relevant Department Head to ensure a proper orientation schedule of activities is developed and executed including introductions, presentations, campus tours etc.
- Working with HR Assistants to ensure that work permit applications are received, submitted, and processed by the Ministry; and that appropriate travel arrangements and other arrangements are made in a timely manner, as applicable
- Liaising with relevant authorities at the airport to ensure problem free clearance at Immigration and Customs for regional and international employees
- Coordinating with the Housing Officer from offer through to arrival, to ensure proper arrangements
- Maintaining the intranet Immigration page. Ensuring that related HR website pages are up to date
- Performing other related duties as assigned by the Assistant Registrar or her delegate
Immigration
- Maintaining relationship with key Immigration liaisons for timely guidance on issues as may arise from time to time
- Managing ongoing Immigration service for staff and their families. Providing guidance; assisting with application preparation; arranging appointments; intervening on matters as necessary
- Arranging and co-ordinating in collaboration with other Campus stakeholders as necessary, special/mass Campus Immigration events for students, and staff and their families
- Engaging the Ministry of National Security, Immigration Division and internal stakeholders for annual meeting on staff and student Immigration challenges, and deciding on arrangements for the annual Immigration exercise
- Identifying, recommending, and negotiating on behalf of the University, service improvements as may be determined from time to time
Personal Attributes

- Possess a valid driver’s permit with no citations
- Be willing to work flexible hours to meet the demands of the role
